The batch drop function allows institutions to remove from a class or classes a group of students. The function also allows the mass removal of all students in a cancelled class.

Process a Batch Drop for Cancelled Classes

Permission #680is required to access this function.

This process will remove students from any course set as cancelled on the course screen. This process will only drop the enrollments for students who not have a final grade assigned for the class.

  1. Navigate to Registrar > Multiple Student Course Drop
  2. Select All enrollments in any cancelled course in semester chosen below
    Drop Date: Enter the date used as the date the removal is effective
    Delete Records: Remove the enrollment record entirely from the system. Caution: Removing enrollment records impacts billing because without an enrollment record a student's bill will not be adjusted. Campus Cafe recommends deleting records only if billing adjustments are not required.
    Semester: Students in classes marked as cancelled in the selected semester will be removed from those classes
    Sub-Semester: Select a sub semester to limit drops to cancelled classes only within the selected sub semester
    Drop For All Sub Semesters: Select to remove students from cancelled classes within any sub semester within the semester selected 
  3. Click Submit

Process a Batch Drop Based on an Uploaded Spreadsheet of Students

Permission #680is required to access this function.

This process will remove students from a class or classes based on an uploaded spreadsheet. The spreadsheet must contain the following columns ID_NUMBER, COURSE_NUMBER and COURSE_SECTION and be in .xlsx, .xls or .csv format. A sample template is attached to this article. This process will only drop the enrollments for students who not have a final grade assigned for the class.

  1. Navigate to Registrar > Multiple Student Course Drop
  2. Select All enrollments in the uploaded spreadsheet in the semester chosen below
    Browse to upload the spreadsheet containing the students to drop
    Drop Date: Enter the date used as the date the removal is effective
    Delete Records: Remove the enrollment record entirely from the system. Caution: Removing enrollment records impacts billing because without an enrollment record a student's bill will not be adjusted. Campus Cafe recommends deleting records only if billing adjustments are not required.
    Semester: The semester for which to process the drops
  3. Click Submit

Audit Log

Drops processed through this function will appear in a student's audit log with a comment of either AD or CC, depending on if this process was run for Auto-Drop (AD) or Cancelled Courses (CC).
