About the Retention Scoring and Reporting System

Campus Café provides a retention scoring system to allow advisors and administrators to find students that have issues that may affect retention such as attendance issues,  academic issues, judicial issues or other issues where a record with a retention score is added to the student's file. A low score equals a high probability of retention; a high score implies a high-risk of leaving.

The system computes the retention score by analyzing attendance and activities with retention scores associated with the student.

An absence for a specific course can carry less or more weight by adjusting the Retention Rating on the course (Registrar > Course Finder > The Course > Codes tab). Each absence adds the assigned Retention Rating value to the student, increasing their retention score. 

Additionally, any workflow that has a numeric “retention score” will be added to the student’s rating. 

For example, the student Jose has 3 absences recorded and each one has a weight of 1. He also has an academic alert for a course with a weight of 2. He also has 2 judicial issues with a weight of 3. His score for the term is 11 (3+2+6). 

Identifying Students by Retention Score

The Student Finder can be used to find students with retention issues. 

The criteria boxes Retention Sem (Required For Retention Search) and Retention Sem Score (Retention Sem Required) will limit resulting students to the inputted retention score criteria by semester The criteria box Retention Overall Score (Retention Sem Required) will limit resulting students to those with the inputted retention score criteria. For the search to run, the Retention Sem must always be specified. Only enrolled students will be returned in the results.

The retention semester, semester retention score and overall retention score are visible as columns by clicking the column visibility button.

To color code the results by retention score, set the thresholds using custom control (Admin > Custom Control Maintenance) RETENTNUM.
