By leveraging workflows and activities, institutions can send an emailed notification to a student of a balance and direct them to pay within Campus Cafe. (Payment processing in Campus Cafe requires a third-party contract with Authorize.net or PayPal.)

Create a Workflow

Refer to the workflow documentation to create a workflow. 

For the workflow:

  • Set the Type to Email
  • Set the Category to Email
  • Set the workflow Mode to Emails Sent on Add
  • Under Actions, Check Email Tracked Person
  • Complete the Email Default Subject Text
  • Enter the content of the email in Email Default Subject Text
    Tip: You may wish to include a link to the Campus Cafe login page and directions on how to access the billing statement
    Tip: The AMOUNT_DUE merge tag will display the student's balance factoring in upcoming payment plan payments and undisbursed financial aid. The ACTUAL_CASH_BALANCE merge tag will display the student's balance without anticipated payment plan payments or undisbursed financial aid.

Create Activity

Refer to the activity documentation to create an activity and attach it to the workflow.

Send Emails Using Student Finder

Leverage the Student Finder (Filters > Students) to find a group of students to apply an activity that emails the student. 

The filter Amount Due can be used to limit the results returned to students with the specified balance. The Amount Due factors in upcoming payment plan payments and undisbursed financial aid.

The filter Actual Cash Balance can be used to limit the results returned to students with the specified balance. The Actual Cash Balance does not factor in anticipated payment plan payments or undisbursed financial aid.

Once the population is returned and selected, click the +Add Activity button to select and apply the activity to send the emails.
