Transcripts are the official academic record for a student.

Campus Cafe supports an unofficial transcript and an official transcript.

View Transcript as Administrator

  1. Navigate to the student
  2. Click the Student Degree tab
  3. Click Transcript
  4. For an official transcript, check the Is Official box
  5. Check Use Internal Status Codes to display semester status codes indicated as internal codes (Option controlled by permission #702)
  6. Optionally choose degree level print overrides. (Option controlled by permission #1246)
    For a clock-hour transcript by default, the system will display a transcript with the current degree and its enrollments only. Select an alternative degree and its enrollments.
    For a semester-based transcript by default, the system will display all degrees and enrollments except degrees with statuses set to suppress in custom control TRANS_DGEX. Select an override to show the specific degree level and associated enrollments only.
  7. By default the system will not log the view of the unofficial transcript. To log the view, check the Add Tracking box. Note: Tracking will only be recorded if the proper workflow and activity has been established.
  8. Optionally complete Tracking Comments 1-8. Those comments will appear on the transcript and be storied with the activity. For the comments to show, Add Tracking must be checked
  9. Click Submit

Batch Transcript Generation

Campus Cafe supports bulk generation of transcripts via the student finder. 

  1. Navigate to the student finder
  2. Identify search parameters, or upload student ID numbers using the 'Add IDs to Filter' link, and run the search process
  3. At the top of the results grid, click the Transcripts action button, and select "for Page" or "for All", depending upon your desired population.
  4. In the bulk transcripts operations page, select your transcript parameters, and submit. Transcripts will generate in bulk as a single .PDF file.

Currently, batch transcript generation is limited to 100 at a time.

Important
Batch Transcript functionality requires setting Custom Control Maintenance Program ID TRANS_PDF Sequence 1, Parameter 5 (Use PDFBox Transcript?) and TRANS_PDF Sequence 1, Parameter 6 (SHOW TRANSCRIPT BATCH LINK STU-FINDER?) both to Y. Additionally, Permission #408 cannot be set to NA.

View Transcript as Student

Students typically do not have access to an official transcript. Some schools opt to place a link to the unofficial transcript in the student portal.

  1. Navigate to My Info > Transcript/Grades
  2. Optionally choose degree level print overrides. (Option controlled by permission #1246)
    For a clock-hour transcript by default, the system will display a transcript with the current degree and its enrollments only. Select an alternative degree and its enrollments. The degree must not be inactive.
    For a semester-based transcript by default, the system will display all degrees and enrollments except degrees with statuses set to suppress in custom control TRANS_DGEX. Select an override to show the specific degree level and associated enrollments only.
  3. Click Submit

Transcript Tracking

Campus Cafe supports a tracking feature that records who has downloaded a student's transcript. This log can be viewed under the student's "Activities" tab. However, there are additional workflows and activity tracking templates that must be enabled; please refer to Transcripts documentation for additional setup.

Note
Transcript Tracking comments 1-5 replace the Student Address entry on the Transcript.

Name on Transcript

By default, the transcript will display the student's name as set on the Bios screen. To set a custom name to appear on the transcript, such as a former name, refer to Transcripts documentation.
