About Activity Tracking 

Activity tracking allows the selection of a population of individuals who have an associated activity. Criteria includes, but is not limited to, defining the specific activity tracking member (folder), workflow, submitted/completed date and semester. Criteria can be saved.

Permissions

  • Permission #1238 controls access to the screen
  • Permission #972 controls whether the user can see only activities assigned to them
  • Permissions #1143 and #1144 control whether the user can create or edit filters all users can utilize

Access Activity Tracking

  1. Navigate to All Users > Activity Tracking
  2. Click Expand Filters to see individual criteria options
  3. Set the desired criteria
  4. In # of Results box enter the maximum number of results to return
  5. In the # per Page box enter the maximum number of results per page
  6. Click Submit
  7. The results appear as a grid

Save Criteria (Filters)

The criteria may be saved and rerun in the future without manually setting each individual criteria. It is important to note that this saves the criteria, not the results themselves. The results will show or not show depending on if they meet the criteria when the activity tracker is run.

  1. Set the desired criteria
  2. In the box to the right of Save Filter as enter the desired name of this criteria set
  3. Optionally click the Available For All Users? check box to allow other users with access to the screen to use the same criteria set
  4. Click the Save Filter As button

Use Pre-Defined Criteria (Filters)

  1. In the All Users' Filters or Your Filters drop down choose the desired saved criteria 
  2. The results appear as a grid

Mark Workflows as Complete (Done) in Batch

The activity tracking screen allows a user to indicate that a group of workflows have been completed,

  1. Return the desired workflows to mark as complete
  2. Optionally uncheck any workflows to exclude from the group to mark as complete
  3. Under Actions, click Mark WorkFlow as Done
  4. Click For Page to mark only workflows on the current page of results as complete, or click For All to mark all results as complete
  5. On the pop up, click Yes to confirm the option

Mark Workflows as Incomplete (Not Done) in Batch

The activity tracking screen allows a user to indicate that a group of completed workflows have been not, in fact, been completed.

  1. Return the desired workflows to mark as incomplete
  2. Optionally uncheck any workflows to exclude from the group to mark as incomplete
  3. Under Actions, click Mark WorkFlow as Not Done
  4. Click For Page to mark only workflows on the current page of results as incomplete, or click For All to mark all results as incomplete
  5. On the pop up, click Yes to confirm the option

Add Tracking (Activities) in Batch

The results may be assigned an activity.

  1. Return the desired population to which to add an activity
  2. Optionally uncheck any results to exclude from the group to mark as complete
  3. Under Actions, click Add Tracking (Batch)
  4. Click For Page to add the activity to the the current page of results, or click For All to add the activity to all results
  5. A pop up appears
  6. Select the desired activity and its details
  7. Click Submit

Send Results to Another Finder

The ID numbers of the results may be sent to another finder such as the Student Finder. From there, you can then use all the functions of that finder to further work with the population.

  1. Return the desired population to move to another finder
  2. Under Actions, click People Finder
  3. Click the desired finder (For Page will transfer only the results on the current page; for all will transfer all results)
