About Administrative Class Registration Add, Drop, Swap

Users, including advisors, with the requisite permissions, may register students for classes and adjust their class schedule.

Access the Schedule of Classes

  1. Navigate to the student
  2. Navigate to Person Selected > Register for Classes
  3. If configured, accept the enrollment message
  4. Choose a semester
  5. Choose a sub-semester. (Optional) Note: Sub-semester may not appear depending on institutional setup and permissions.
  6. Click Submit

Note: If Custom Control MSParm DISPLAY_SEMESTER_CODE-1-1 = N, Semester Codes will be hidden from the Course Rosters and Registration Dropdowns.

Add a Class

  1. Access the schedule of classes by completing steps listed above under Access the Schedule of Classes.
  2. Click Add next to the class you are registering the student in.
  3. The class will now appear on the bottom half of the screen indicating the registration is complete.

Drop a Class

Caution
Custom Control WEBDROPLGC values 1 and 2 determine whether a drop record is preserved or whether the entire record of the class is immediately deleted. Campus Cafe recommends the drop record be preserved in order for billing, LMS connections and other functions to work.
  1. Access the schedule of classes by completing the steps above under Access the Schedule of Classes.
  2. Click Drop next to the class you are removing from the student's schedule.
Important
Dropping a class removes the class from the student's transcript. To show the class on the student's transcript, the student must be assigned a withdrawal grade for the course. (Withdrawal grades are configured on the quality points maintenance screen.) If a withdrawal grade is desired, Campus Cafe recommends editing the class enrollment instead of dropping the class. Click Edit next to the class, enter a Withdrawal Date, in Final Grade choose a withdrawal grade and click Save.

Swap a Class

Swapping a class drops the class selected and replaces it with another. A class that has already dropped cannot be swapped.

  1. Access the schedule of classes by completing the steps above under Access the Schedule of Classes.
  2. Click replace next to the class you are removing from the student's schedule.
  3. In the upper part of the screen, click Select next to the class you are adding to the student's schedule.
  4. The class will appear on the bottom half of the screen indicating the swap is complete.
